Award the purchase of furniture and furnishings to Sitmatic and Affordable Interior Systems through Chris Cable dba Caliber Office Furniture, LLC, for the Emergency Operations Center/South County Patrol and approve a budget amendment to effectuate the purchase.

RECOMMENDATION

Take the following actions: (1) Award the purchase of furniture and furnishings to Sitmatic and Affordable Interior Systems through Chris Cable dba Caliber Office Furniture, LLC, for the Emergency Operations Center/South County Patrol in an amount not to exceed $128,810.94; and (2) approve a budget amendment increasing appropriations in the Sheriff's-Patrol budget by $ 59,132 offset with use of Impact Fees.

DISCUSSION

The County purchased 6590 Lockheed Drive to co-locate the Emergency Operations Center and South County Patrol. Remodel construction is underway. It is anticipated that the South County Patrol portion of the building will be complete this summer, prior to the Emergency Operations Center due to supply chain delays.

 

The furniture, desks, and chairs at the current South County Patrol station are several decades old, mostly nonfunctional, and need replacement. Furniture is required at 6590 Lockheed Drive for occupancy. The County currently contracts with Caliber for moving furniture and furnishings. Caliber will accept delivery of the furnishings and provide installations. The quote and purchase are part of the National Cooperative Purchasing Alliance contracts which are cooperative agreements that are based on and comply with bidding and purchasing policies required by law. Procurements through these contracts is permissible under Shasta County Code 3.04.060 and Administrative Policy 6-101, 2.11.

ALTERNATIVES

The Board may choose to either not approve the recommendation, which would delay occupancy of the Emergency Operation Center/South County Patrol, or the Board may request additional information from staff.

OTHER AGENCY INVOLVEMENT

Support Services-Purchasing has reviewed and approved the recommendations. The County Administrative Office supports the recommendation.

FISCAL IMPACT

There is no additional General Fund impact as the use of Impact Fees will be used for the purchase of furniture for South County Patrol. The Department will request appropriations in Fiscal Year 2023-24 for the purchase of furniture for the Emergency Operations Center.
