RECOMMENDATION

Approve an amendment, effective date of signing, to the contract with California Safety Company, Inc. for the purpose of performing repairs, modifications and installations of burglar and fire alarm systems which increases compensation by $120,000 for a new maximum compensation of $180,000, retaining the term June 12, 2021 through June 11, 2022, with two automatic one-year renewals.

DISCUSSION

Many County facilities are equipped with burglar and fire alarm systems.  On June 12, 2021, the County entered into an aggregate contract with California Safety Company, Inc. for alarm repairs, modifications and installations.  There has been a significant increase in requests for the contract services.  The contract amount will be exceeded well before the end of the term.  Much of the existing alarm equipment in County-owned and leased facilities belongs to California Safety.  For another contractor to provide these services it would likely cost considerably more.  They would need to replace the California Safety equipment. The current amendment would increase maximum compensation sufficient for the term of the contract.

ALTERNATIVES

The Board may decline to approve the proposed amendment.  The contract amount would eventually be exceeded.  California Safety owns most of the alarm equipment.  A new aggregate contract could be secured with another contractor.  This would likely cost more.

OTHER AGENCY INVOLVEMENT

County Counsel has approved the amendment as to form. Risk Management has approved the amendment. The Recommendation has been reviewed by the County Administrative Office.

FISCAL IMPACT

Alarm costs are charged to the benefitting departments.  Sufficient appropriations are included in the Adopted Fiscal Year 2022-23 Facilities Management Administration budget and benefitting department budgets.
