RECOMMENDATION

Take the following actions: (1) Award the purchase of 13 monitor arms and 24 computer holders in the total amount of $4,470.12 (including tax, delivery, and installation) to Caliber Office Furniture, LLC (Caliber) under the Humanscale California Multiple Award Schedule Contract Number (CMAS) Contract #4-13-71-0095B; (2) award the purchase of 24 cubicle workstations and 12 cubicle systems in the total amount of $43,071.05 (including tax, delivery, and installation) to Caliber under, the Affordable Interior Systems, Inc. CMAS Contract #4-16-71-0150A; (3) award the associated installation services to Caliber, in the amount of $9,570.00; and (4) approve and authorize the Health and Human Services Agency to purchase 24 cubicle workstations, 13 monitor arms, 24 computer holders, and 12 cubicle systems in an amount not to exceed $57,111.17 including all taxes and fees.

SUMMARY

The requested recommendation will provide furniture and associated labor services for two remodel projects currently nearing completion. The proposed vendor, Caliber Office Furniture, LLC, will coordinate the purchase of the cubicle workstations and cubicle systems from Affordable Interior Systems, Inc., monitor arms and computer holders from Humanscale Corporation, and will also provide installation services.

DISCUSSION

Two Public Works projects are nearing completion for the HHSA, the Mental Health Basement project and the City of Shasta Lake project.  Staff from the HHSA Regional Services Branch will be occupying the newly renovated space at 4222 Shasta Dam Boulevard.  Twenty-four cubicle workstations, 13 monitor arms, and 24 computer holders are necessary to accommodate these staff members.  HHSA does not have the necessary furniture in our inventory to address these needs. 

 

For the Mental Health Basement remodel, HHSA is utilizing some existing furniture in its 1810 Market Street location; however, additional cubicle furniture is necessary that fits into the space.  Twelve additional cubicle workstations and related cantilever furniture are necessary to complete the furniture needs.  The electrical and data requirements for this area were constructed to utilize cubicle paneling systems. The total purchase for the Mental Health Basement remodel includes installation and delivery of the new cubicle system along with the breakdown, reconfiguration and set up of existing cubicle system and furniture. 

 

For each of the purchases, HHSA went through California Multiple Award Schedules (CMAS) which is competitively procured at the state level.  The competitive procurement requirements are met by using the CMAS state contract pricing.  Installation services are provided in accordance with the rates established in the Countywide contract with Caliber Office Furniture, LLC, executed August 22, 2016.

ALTERNATIVES

The Board could choose not to approve the recommendations or could instruct HHSA to research other competitively procured contracts for this purchase.

OTHER AGENCY INVOLVEMENT

These recommendations have been reviewed by County Purchasing and the County Administrative Office.


FINANCING

HHSA’s Fiscal Year 2017-18 Adopted Budget includes sufficient budget authority to accommodate the requested purchases and installation.  No additional County General Funds are requested.
