RECOMMENDATION

Take the following actions:  (1) Approve and authorize the Chairman to sign an amendment to the Microsoft Enterprise Agreement with Microsoft Licensing GP to add the Microsoft Project and Microsoft Visio applications as part of the Office 365 (O365) software component to the list of available options and retaining the term of February 1, 2015 through January 31, 2018; and (2) authorize the County Executive Officer to approve and sign future amendments to add additional software products as Microsoft makes them available as part of the O365 suite of products.

DISCUSSION

On January 13th, 2015, the Board approved enrollment into the Volume Licensing Microsoft Enterprise Agreement (MSEA) with Microsoft to provide maintenance, support, and upgrades for software that is critical for the County to conduct business.  Since January 2015, Microsoft has added the MS Project and MS Visio software applications as additional selections to the O365 component. This option allows the County to purchase a subscription license for these products as needed for the departments that utilize O365 for their main Microsoft Office suite of applications. Information Technology would like to add these items to the list of available products under the current MSEA, and have the CEO authorized to sign to add future products to the agreement as Microsoft makes them available under the O365 product offerings.

ALTERNATIVES

The Board can choose not to approve the MSEA amendment; County would continue to purchase the MS Project and Visio products outside of the MSEA O365 option.

OTHER AGENCY INVOLVEMENT

County Counsel has approved the documents as to form. Risk Management has reviewed and approved the documents.  The County Administrative Office has reviewed the recommendation.

FINANCING

Costs are only incurred if the products are ordered for departments through the O365 County Portal.  Departments that request IT to order these products will be billed directly for the subscription cost just like they do for the other O365 products they currently use. There is no additional General Fund impact with the recommendation.
